Tag along tour : How it all works..

 

Have a look at our different 4wd tag along tours and guided passenger tours and either email or call us to find out more.

 

We can call you back at a set time or email and discuss the following

  • our different tours, where they go and what you can expect to see.
  • we want to know what you would like to see so we can ensure your expectations are for-filled.
  • dates we depart, including where we leave from and where we finish.
  • prices, what is included, what is not (your evening tipple for example)
  • your off road driving experience, if any.
  • vehicle suitability and any requirements for the tours.

 

Once you are happy to proceed we require a non refundable deposit of either $500 per person (or $250 per vehicle depending on trip selected) with the remainder paid no less than 30 days out from trip departure. If the departure date is within the 30 day period and space is available we require full payment to secure your booking.

Accompanying the deposit we require a filled out and signed indemnity form and client detail form.

We accept bank transfer, Visa and Mastercard payments. Visa and Mastercard are subject to a merchant cost surcharge of 3%.

 

We are more than happy to assist you with vehicle hire if necessary, accommodation and maps on where we start from etc.

 

Either on departure day or the night before, all participants will meet up for a briefing on the following.

 

  • vehicle check to make sure everything is as per our vehicle list.
  • how 4wd tag along tours work, rules, expectations and self responsibility.
  • a reminder that if any driver does not want to proceed over a specific area we are there to help, guide them through and if necessary drive there vehicle through and section. Our policy is 'Safety First' so we expect and encourage drivers to communicate how they are going and if any issues arise we want to know.
  • radio procedures.
    • when to call and call signs
    • how the radio works with line of sight.
    • making sure radio is off and charging after the days activity
  • tail end charlie gate and radio procedures
  • location of all emergency equipment, how to use it, and where to find it.
  • assignment of any jobs, i.e. if we have anyone with first aid experience they may be our first aid helper, or any one with mechanical experience can be helpful in any breakdowns.

 

Each morning we will have a quick daily briefing including..

 

  • Any expected track conditions for the day.
  • Weather conditions and how that might affect us.
  • Tea time and lunch schedule.
  • Our proposed days route on a map.
  • Fuel availability for the day.

 

Food and accommodation ?

 

Generally unless otherwise stated food and accommodation is not included in tour price. We do this to cater for the widest possible budgets and requirements. (We have clients staying at camping grounds, motels, pubs, hotels and lodges etc). We can help with accommodation recommendations and travel times from our daily finish point. Each day we set a morning meeting place and time so we can go over the coming days activities. We normally finish close to towns so evening meals, breakfast, lunches and snacks are located locally. Upon booking we will supply a recommended gear list.

 

Never been four-wheel driving before ?

 

Not a problem. Our tours are designed so beginners with their first 4wd will be assisted throughout the expedition.

Our policy is 'Safety First'. We will look after you, and do our best to ensure you have a great time. 4WD Expeditions safety and operational procedures are routinely safety audited by AdventureMark for WorkSafe NZ.

 

Vehicle Suitability, do i need to modify my vehicle ?

 

Due to the nature of high country track conditions and unexpected weather we require 4wd vehicles with high clearance and a low range option  for all the 4wd tours, except where indicated. Our 4wd tours are designed so an 'off the yard' 4wd vehicle with no modifications can complete the tour comfortably. That said the terrain we venture into is remote and we encounter a huge variation of track conditions and environments.

If you are looking for a hard core rough 4wd experience where damage is likely then we are not the company to go with. Please contact us if you with any queries over this.

 

Self Responsibility with risks

 

All off road driving has an element of risk. Our 4wd tours venture into remote locations where the rugged environment is beyond our control. Some of the tracks we use are not maintained by professional road engineers (i.e. farm tracks, DOC tracks) and therefore hazards can and will be present. The nature of the rugged terrain means some tracks run along ridge tops with steep drops off’s, others climb steeply out of valleys or through rivers. All drivers need to take personal responsibility for themselves, their passengers, vehicle, other clients and the environment. If you are not prepared to take self responsibility then 4wd Expeditions is not the tour company for you. Through our experience in this environment and knowledge of the terrain we aim to mitigate the risks as much as possible, but we cannot totally remove them.

 

Tyre Selection

 

As mother nature can be unpredictable we require All Terrain (A/T) tyres with minimum 70% tread on most of our tours. Low profile tyres are not suitable for any of our tours.

 

Hire vehicle availability

 

Hire 4wds are available out of most major towns and cities, including Christchurch, Queenstown and Dunedin. Hirepool 0800 15 15 15 has double cab Toyota Hilux and Ford Rangers for hire out of Christchurch and Dunedin. Feel free to get in touch with us re vehicle hire.

 

First day jitters

 

We do not throw you straight into the deep end. The first days terrain is generally gentler and allows you to 'get the feel' of the vehicle and gain confidence in your abilities. We are always on hand to help. Our policy is 'safety first'. If you are unconformable with any aspects of the driving we can manoeuvre the vehicle for you past any hazards.

 

Self Drive or seat in vehicle you choose

 

Don’t want to drive yourself, you can join our guide on a tour or charter our vehicles with a guide to explore real New Zealand your way at your own pace.

 

Driving Times

 

Our expeditions are not fast paced, with different driving times each day. We do endeavour to allow plenty of time for soaking in the environment, take photos, ride a mountain bike and even catch a fish.

 

Fuel

 

Generally our tours proceed through, start or finish each day in a town with fuel, this is discussed in the morning briefing. For safety reasons client vehicles are not permitted to carry any extra fuel.

 

Falling sick mid trip.

 

Your guide is first aid trained. We carry comprehensive first aid kits, cell phones and a satellite beacon for any urgent communication. The daily morning briefing includes showing everyone on maps where our alternate exit points are located. On the pre trip medical form we ask clients to write down any existing medical information and medication requirements. This helps the team be preprepared if a situation arises. The medical form is kept confidential and destroyed at the end of the tour.

 

Insurance

 

We encourage clients to check their private vehicle insurance policy to make sure they cover the vehicle being used off road (not on formed roads i.e. farm track, DOC track etc.), and for use on both public and private land.  4WD rental vehicle insurance is different for each company, we can help with this if you are unsure. We recommend travel insurance for all our expeditions to cover the unexpected.

 

Do not want to drive yourselves ?

 

No problem, all our tours are available for sit in passengers, or full charters if you want more exclusivity. We travel in late model, NZTA certified forward seating Nissan Patrols and Toyota Landcruisers  – vehicles appropriate to the terrain.  With years of experience in group and charter trips, we can build an itinerary around your budget, expectations, locations and requirements. Your guides all have a passion for our special South Island high country, and love to share it with you. Tours can be arranged with pick ups at Christchurch, Dunedin or Queenstown airports.

 

 

 

 

 

 

 

 

 

 

 

TERMS AND CONDITIONS : HALF AND FULL DAY TOURS

 

TRIP CANCELLATION

 

  • 4WD Expeditions Limited reserves the absolute right to cancel any scheduled departures as a result of road or weather conditions.
  • 4WD Expeditions Limited reserves the absolute right to decline to accept or retain any person as a member of a tour.
  • Clients will be advised as soon as possible of any cancellation or part cancellation. Clients will be entitled to a full refund or part refund for the section of the trip that was incomplete.

 

REFUNDS

 

  • Bookings cancelled within 24 hours of departure will be subject to a 100% cancellation fee.
  • Bookings cancelled more than 24 hours before the trip will incur no cancellation fee.
  • Customers who do not turn up for a departure will not be entitled to any refund. You will be invoiced for the full amount of the booking.
  • Refunds can only be issued through the original booking office.

 

LOST PROPERTY

 

  • No responsibility is accepted for loss or damage to client’s personal property whilst on any trip.

 

LIMITATION OF LIABILITY

 

  • 4WD Expeditions Limited accepts no liability for any act or omission arising from a tour (including any arising from a tour not taking place) and the passenger releases, waives and holds harmless 4WD Expeditions Limited, its officers and/or its employees from all claims, losses, damages or expenses which arise during or in conjunction with a tour provided by 4WD Expeditions Limited. This includes any claims for damage caused by negligence of 4WD Expeditions Limited, its officers and/or its employees, and includes any claim for any costs including legal fees that may be incurred as a result of any such claims, losses, damages or expenses whether valid or not.
  • 4WD Expeditions Limited does not accept any liability for the acts, omissions, or default whether negligent or otherwise of those companies or other persons providing services in connection with a tour by 4WD Expeditions Limited.
  • Without limiting the above, 4WD Expeditions Limited shall be under no obligation or liability to any person as a result of any inaccuracy, misdescription or changes to any tour made by 4WD Expeditions Limited or any other party.

 

INDEMNITY

 

  • The passenger indemnifies 4WD Expeditions Limited, its officers and/or its employees against all claims, losses, damages or expenses (including any costs including legal fees that may be incurred as a result of any claims, losses, damages or expenses whether valid or not) that he or she or their executors, administrators, next of kin, successors or assignees may have or assert for any claims, losses, damages or expenses whether valid or not.

 

ACTS OF GOD

 

  • 4WD Expeditions Limited has no liability for losses or additional expenses incurred by passengers due to sickness, weather, strikes, delays or changes in air or other transport services, force majeure, Act of God, or other causes outside the control of 4WD Expeditions Limited.

 

 

 

TRADE TERMS AND CONDITIONS

 

BILLING

 

  • Invoice issued at end of month of travel.
  • Payment by 20th of month following invoice.
  • Payment by NZ $ cheque, bank draft payable to 4WD Expeditions Limited.
  • Interest of 3% plus GST per month can be charged on outstanding accounts until receipt of payment in full.
  • If the customer defaults in making payment, 4WD Expeditions Limited can, in its discretion, require the customer to reimburse 4WD Expeditions Limited for all collection costs including legal costs incurred by the Company.

 

REFUNDS

 

  • Bookings cancelled within 24 hours of departure will be subject to a 100% cancellation fee.

  • 4WD Expeditions Limited half and full day passenger tours operate on a per vehicle rate. Minimum passenger numbers do not apply.

TERMS AND CONDITIONS : TAG ALONG TOURS

 

INDEMNITY

 

Off-road diving can be hazardous for persons and vehicles taking part in driving activities or as spectators.

 

Whilst every effort will be made to ensure that the highest standards of safety are applied at all times, this indemnity will apply at all times during 4WD Expeditions tours.

 

I hereby indemnify the directors, employees, and associates of 4WD Expeditions against all actions, claims or expenses in respect of death, injury, damage or loss of any kind to vehicle, property or person, while taking part in or attending an activity organised by the 4WD Expeditions Limited or its representatives.

 

As a driver and or owner of a vehicle taking part in activities organised by 4WD Expeditions Limited, I accept responsibility for my own actions.

 

CLIENT RESPONSIBILITY LIST

4WD Expeditions expect clients to abide by the following responsibilities whilst on tour.

  • Act in an honest manner,
  • Consume NO drugs on tour,
  • Consume NO alcohol before driving. Realistic drinking with evening meal is ok.
    • a. 4WD Expeditions reserves the right to suspend, without refund, any participant taking illegal drugs or excessive alcohol or under the influence of both drugs and and/or alcohol whilst on tour.
  • Listen to verbal commands from 4WD Expeditions,
  • Follow all legal requests from 4WD Expeditions,
  • Help 4WD Expeditions in any way possible during an emergency,
  • Act in a way that does not disrupt other participants,
  • Act in a way that does not disrupt the environment or private property,
  • Act in a way that puts safety first,
  • Perform NO illegal activities on tour,
  • Present vehicle that meets current legislative requirements for,
    • Registration licensing
    • WOF
    • COF
    • Any vehicle alterations must be low volume certificate certified
  • Tyre tread depth of 70% or more
  • Client vehicle must have either mud terrain or all terrain tyres; road tyres are not acceptable for 4WD Expeditions tours (unless clearly specified by 4WD Expeditions).
  • Take care or any equipment loaned from 4WD Expeditions during tour.

 

 

BOOKINGS

  • Tours require minimum numbers to proceed.
  • Bookings require a $500 per person (or $250 per vehicle on selected trips) non-refundable deposit more than 90 days before tour commencement date.
  • Final payment is required no later than 30 days from the tour commencement date.
  • Bookings inside 30 days before tour commencement, require full payment to confirm booking.
  • Any unused services, portions of the event will have no refund.

 

CANCELLATION BY 4WD EXPEDITIONS

  • Total abandonment of a tour within 7 days before it commences, through an act of civil emergency, act of nature or force majeure, a 70% refund less $500 non-refundable deposit per person or per client (as per trip schedule) will be paid.
  • Total abandonment of a tour more than 7 days before it commences, through an act of civil emergency, act of nature or force majeure a 80% refund less $500 non-refundable deposit per vehicle or per client (as per trip schedule) will be paid.
  • Total abandonment of a tour once started, through an act of civil emergency, act of nature or force majeure, no refund will be paid.

 

CANCELLATION BY PARTICIPANTS

The following applies when a participant decides to cancel a booking with 4WD Expeditions for any reason.

  • Inside two weeks (14 days) before tour commences: No Refund
  • 14 days to 90 days before tour commences: 50% Refund less $500 non-refundable deposit (or $250 per vehicle on selected trips).
  • Up to 90 days before tour commences: Full Refund less $500 non-refundable deposit (or $250 per vehicle on selected trips).

 

CLIENT ACKNOWLEDGEMENT, INDEMNITY AND DISCLAIMER

I agree and accept to indemnify 4WD Expeditions Limited in the following matters:

 

  • I participate in this event or tour at my sole risk and responsibility.
  • I accept and acknowledge the risk disclosure that off-road driving can be hazardous for persons, vehicles, plant and equipment taking part in driving activities or as passengers and spectators.
  • I agree to follow all reasonable and lawful instructions from employees and persons acting with the authority of 4WD Expeditions Limited and or event organizer while involved in activities or while being on property used for any purpose in connection with activities controlled, arranged or supervised by 4WD Expeditions Limited.
  • I acknowledge 4WD Expeditions Limited reserves the right to alter or cancel the tour or itinerary due to operational requirements, weather conditions or where ever safety could be compromised.
  • I agree to adhere to the client responsibility list.
  • I accept that the directors and employees of 4WD Expeditions Limited may refuse any person the right to take part in any activity, if that person is suffering from the effects of drugs, alcohol or is behaving in a manner that is damaging to property or disruptive to other persons.
  • I acknowledge personal property including vehicle and equipment may be damaged, lost or destroyed.
  • I acknowledge vehicles and equipment may be damaged, lost or destroyed by the actions of fellow participants and / or members of the public.
  • I acknowledge some of the structures and tracks used on tour are not maintained by professional engineers (i.e. farm tracks, DOC tracks) and therefore hazards and hidden dangers can and will be present.
  • I acknowledge all drivers need to take personal responsibility for themselves, their driving, their passengers, vehicle, other clients and the environment.
  • I hold harmless, property owners, land managers, contractors, 4WD Expeditions Limited, their respective agents, servants, staff, and volunteers against any claims or actions which may be made against me or on my behalf or by other parties for in respect of, or arising out of my death or any injury, loss or damage to myself or my property caused by negligence, breach of contract or any other matter whatsoever.
  • I accept other participants skill, judgment and experience levels may be limited and that 4WD Expeditions Limited will not be liable for their lack of skill, judgment or experience.
  • I accept my skill, judgment and experience, whilst on tour may be limited and that 4WD Expeditions Limited will not be liable for my lack of skill, judgment or experience.
  • I agree to make good any damage I cause wilfully or negligently to any structure, building, plant, fittings, flora, fauna or track while on this tour.
  • I agree this Indemnity Disclaimer is binding to all, including on my family, heirs, legal assigns, administrators and executors.
